Who we are

Pet Central is a WordPress plugin published by Keen2Host, a sole trader established in the United Kingdom, trading from 26 Down View Way, Clanfield. Hampshire. PO8 0FQ. In this policy, “we”, “us” and “our” mean Keen2Host.

The distinction that matters most

We are the controller for a much smaller set of information: what you give us when you visit this website, buy a plan, open a support ticket, or connect your site to our licensing service. The rest of this policy is about that.

What we collect, and why

We do not buy personal data, sell it, or use it for advertising or profiling. We do not use it to train machine-learning models.

An install that never connects never calls us

A plain installation of Pet Central contacts us for nothing at all — no analytics, no telemetry, no licence check, nothing on a schedule. The daily licence check exists only once you have connected the site, and disconnecting stops the check rather than merely letting it expire.

What the plugin sends elsewhere, and when

Two services are contacted automatically, because the features that need them cannot work otherwise. Everything else in this section happens only after you enter your own credentials or switch a setting on.

Automatic

  • OpenStreetMap — when a walk map or route map is drawn, your browser (or your server, for a static map in a report) requests map tiles from tile.openstreetmap.org. Only the map area being viewed is sent. No client or pet detail is ever included. Their privacy policy.
  • Postcodes.io — when an address needs placing on a map or measuring for mileage, the outward part only of a UK postcode (for example SW1A, never the full postcode) is sent to get approximate coordinates. Results are cached, so an area is looked up once. No name, address line or pet detail is sent. About the service.

Only if you turn them on, with your own account

  • Stripe — card payments and deposits. Sends the invoice amount and your customer’s email address when you take a payment.
  • Twilio — text reminders. Sends the recipient’s mobile number and the message.
  • WhatsApp Cloud API (Meta) — sends the recipient’s number and the message.
  • Google Analytics — only if you paste in a measurement ID.
  • Cloudflare Turnstile or hCaptcha — spam protection on public booking forms. Sends the visitor’s IP address and a challenge token.
  • Xero, QuickBooks, Sage, FreeAgent, Zoho Books or FreshBooks — sends the invoices and expenses you choose to sync.
  • Google Fonts — only if you switch on web fonts for a website design; your visitors’ browsers then request the font files from Google. Left off, Pet Central uses fonts already on the device.

Where you enable one of these, you are the controller of what is sent, and that service’s own terms and privacy policy apply to it. The full list, with links, is also published in the plugin’s readme so it can be read before installing.

Who we share information with

We use a small number of suppliers to run the business. They act on our instructions and may not use your information for their own purposes.

We will also disclose information where we are legally required to, and to a buyer or successor if the business is ever sold — in which case this policy continues to apply until you are told otherwise.

Where information is held, and for how long

Our systems are hosted in the USA and UK. Where a supplier transfers personal data outside the UK — Stripe is the practical example — that transfer relies on the UK’s adequacy regulations or on the International Data Transfer Addendum to the EU Standard Contractual Clauses.

  • Licence and site records — kept while the site stays connected, and for 12 months after a plan ends so a returning customer keeps their history. Then deleted.
  • Support tickets — 24 months from the last message, because the same question tends to come back.
  • Invoices and payment records — six full financial years plus the current one, which is what UK tax law requires. We cannot delete these on request.
  • Demo and trial sites — deleted, with their contents, 30 days after the trial ends.
  • Web-server logs — 30 days.

Cookies

This website sets only the cookies needed to make it work — a session cookie if you sign in, and a cookie recording your cookie choice. We do not use advertising or cross-site tracking cookies.

Cookies set by your own Pet Central site — for example keeping a client signed in to your customer portal — are set by your site, not by us, and belong in your own privacy notice.

Your rights

Under the UK GDPR you have the right to ask us for a copy of the personal data we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on legitimate interests, you can object and we will stop unless we have compelling grounds not to.

Ask at support@petcentral.software. We will respond within one month. There is no charge.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We would rather you came to us first so we can put it right.

Children

Pet Central is sold to businesses and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe we have, tell us and we will delete it.

Changes to this policy

When we change this policy we update the date at the top. If a change materially affects how we use your information, we will email connected licence holders rather than relying on you to notice.
